How to Check In / Check Out assets (Starter Edition and above)

Asset.Guru allows you to assign fixed assets to employees or customers via the Check-in and Checkout feature!  This is also referred to as Asset Custodianship.

Features:

  • Easily assign individual assets or bulk check-out (assign) assets to anyone
  • Run a report to see "who has what"
  • Keeps an audit of who had what in the past (and who approved the check-out and check-in)

How to Check Assets out to an employee 

There are two ways to check out or check assets back in. This can be done either individually or in bulk!

Option 1: Individually (the asset by asset method): Once an asset is activated, 

Step 1: click into the selected asset (this brings you to the focus view of an asset)

Step 2: click "Check Out" from the top navigation bar (this does not appear if the asset is not activated)

Option 2: Multiple assets (Bulk Check out) 

This is the best option if you have a large number of assets to check out to someone. 

Navigate to the Active Asset Register (you can do this anytime by clicking the left hand Asset register menu button)

Step 1: Click the checkbox on the left of each of the asset(s) you would like to select, then

Step 2: Click the  "Edit Selected Assets" button.  

Step 3: On the pop up modal click the check Out to checkbox and enter the free text name you would like to check the item out to

Step 4: Click "Confirm"

Notes: 

  • If you make a mistake simple repeat  these steps to check them out to the correct/desired name
  • To check the items back in, simply repeat steps 1 and 2 but for step 3, select the Check in checkbox instead then click confirm.
  • REPORTING: Check in / Check Out changes are date stamped in the in the Audit History of the asset and can also be reported on in the Checked Out Assets Report.
